This policy explains how pioNox (“pioNox”, “we”, “us”) collects, uses, and protects personal data. It covers two groups: visitors of this website (pionox.com) and the businesseswho use our AI assistant to run their WhatsApp. We aim to comply with Indonesia's Personal Data Protection Law (UU No. 27 of 2022, “UU PDP”).

1. Who we are

pioNox is operated by Lance Linus Lee, a sole proprietor (usaha perorangan) registered in Indonesia, and provides an AI assistant that answers, books, and captures leads on a business's WhatsApp. For data submitted through this website, pioNox is the data controller. For end-customer conversations handled on behalf of a business client, that business is the controller and pioNox acts as its processor (see Section 7). You can reach us anytime at hello@pionox.com.

2. What we collect

When you submit the “Get started” form, we collect:

• Your name
• Your business name
• Your WhatsApp number
• Any message you choose to add (optional)
• Technical data sent automatically by your browser, such as your IP address, used to prevent spam and abuse

This website does not use advertising or tracking cookies. The form includes a hidden anti-spam field that genuine visitors never see or fill in.

3. How we use it

• To contact you about your free consultation and respond to your enquiry
• To set up and provide the service if you become a client
• To prevent spam, fraud, and abuse of our systems
• To meet legal and accounting obligations

Our legal basis is your consent when you submit the form, and our legitimate interest in operating and securing the service. We do not sell your personal data, and we do not use it for unrelated marketing.

4. Where your data is stored

This website itself stores nothing — the form relays your details directly to our secure application, where they are held. Hosting and infrastructure providers process data on our behalf under contract.

5. Service providers

We share personal data only with providers who help us run the service, including:

• Cloud hosting and website infrastructure providers
• WhatsApp / Meta, to send and receive messages through the official WhatsApp Cloud API
• Google (Gemini AI), which processes message content to generate replies on behalf of a business; we do not permit use of this content to train third-party models beyond what is needed to provide the service

Some of these providers operate outside Indonesia, so your data may be transferred internationally. Where that happens, we take steps to ensure an adequate level of protection as required by UU PDP.

6. How long we keep it

We keep enquiry data only as long as needed to respond and, if you become a client, for the duration of the service plus any period required by law. If you are not a client and ask us to delete your enquiry, we will do so.

7. End-customer conversations (for our business clients)

When a business uses pioNox, we process the messages its customers send on WhatsApp in order to reply, capture leads, and manage bookings. In this role we act as the processoron the business's instructions; the business is responsible for informing its own customers and obtaining any consent required. We process that data only to provide the service and do not use it for our own purposes.

8. Your rights

Under UU PDP, you have the right to:

• Access the personal data we hold about you
• Correct inaccurate or incomplete data
• Request deletion of your data
• Withdraw consent you previously gave
• Object to or restrict certain processing

9. Security

We use technical and organisational measures — including encrypted connections (HTTPS), access controls, and tenant isolation so each business sees only its own data — to protect personal data against unauthorised access, loss, or disclosure. No system is perfectly secure, but we take protection seriously.

10. Children

Our service is intended for businesses and is not directed at children. We do not knowingly collect personal data from children.

11. Changes to this policy

We may update this policy from time to time. The “Last updated” date above shows the latest version. Material changes will be reflected on this page.
